Questions to ask before hiring a custom AI company

Hiring a custom AI company is not the same as buying a monthly seat. You are choosing a studio that will shape how intake, phone, follow-up, or content actually run — and what you keep if the relationship ends.

These questions are for commercial research: comparing studios before you sign. Not AI theory.

Why these questions matter before you sign

Most “custom AI” sales decks sound the same. Production proof, ownership language, and post-build costs do not. Ask these out loud. If the answers are a calendar link and a vague range, you are still in discovery theater.

We publish prices. We assign custom code, configuration, and data. A written plan and a number come back in one business day. A call is not required. That is the bar we hold ourselves to — use it on anyone else too.

Can you show a system running in production (not a demo)?

Ask for a live system, not a slide.

What to look for:

  • Software running for a real operation, not a one-off pitch deck
  • Screens and flows you can follow without a salesperson narrating every click
  • An honest note about what is first-party proof versus a client logo wall

We do not invent case studies. Proof is the actual work behind the services on this site — including systems running in production for a live services business, plus the advisor, scoring, scheduling, and staff dashboard class of build sold as packages.

If a studio cannot show production, you are funding their first real ship.

Who owns the code, prompts, config, and data?

Paying an invoice does not automatically transfer copyright.

Ask:

  • Is this an assignment, a license, or a work-for-hire clause?
  • Who owns prompts, recordings, logs, and customer data?
  • What happens if I stop paying for support or hosting?
  • Can another developer run this without you?

We assign the custom code, configuration, and data to you. You do not own foundation models or third-party APIs. Plain English: Do you own the code. This is not legal advice — read the engagement you sign.

What do I pay after it ships?

Separate build, run, and optional retainers.

Ask what is one-time, what is usage, and what is optional support. If the only number is “we will know after discovery,” you do not have a number.

Our published ladder (same as pricing and how much custom AI costs):

WhatPrice
Smallest focused buildfrom $2,500
AI phone answering, stand-up$3,500
AI phone answering, keep it sharp$500 / month
Capture, qualify, follow up$4,500
AI website and assistant$6,500
Automation sprint (one week)$7,500
Ongoing support and tuning$2,500 / month
Advisory, as needed$185 / hour

After the build, model and API usage is pass-through at cost. We do not sit as a marked-up platform fee. Retainers are optional. Cancel support and you still have the code.

Can I get a written build plan and number without a discovery call?

Ask whether a price requires a demo call.

If the only path is “book time on our calendar,” you are paying with your time before you see a number.

We send a written build plan and a number inside one business day. A call is not required. That flow: custom AI quote without a call and advisor.

Fixed packages vs quote-after-a-call

Fixed packages tell you the shape of the work before you talk. Quote-after-a-call puts the number behind a meeting.

Neither is always wrong. Fixed packages fail when the problem is vague and needs scoping hours. Quote-after-a-call fails when every shop problem gets the same sales script.

We publish packages for common builds and still scope one-offs in writing. If SaaS already does the job, the plan should say buy SaaS.

Wrapper vs real build (what “custom” should mean)

“Custom” sometimes means a rented platform with your logo and a prompt. Sometimes it means software built around your path, handed over as source.

Ask:

  • If I cancel, do I keep a running system or a CSV?
  • Is this a snapshot on someone else’s platform?
  • Can another shop maintain it?

A wrapper dies with the subscription. A real build is code, config, and data on your side. Same cancel test on phones and on content systems. Owned phone comparison: owned AI receptionist vs SaaS.
